Using Word as an html editor

If, like me, Microsoft Word 2007 is your usual text editor, then you may want to use it to generate and edit very simple text based html web pages. This can be extremely convenient, but only if the following precautions are observed.

Note that by “simple” I mean html pages which are not coupled with a folder containing pictures or other resources, and which can therefore be easily uploaded to a web site, or pasted into html emails, etc.

To Create a simple html file from a template

Office button > New

  > Select template to be used

  > OK

Office Button > Save As > Other Formats

  > Save as type: = Web Page, Filtered (*htm;*html)

  > File name: = <document name>.html                    (I.e. add the “l” to create a standard *.html file name)

  > [Save]

Office button > Prepare > Properties > Summary

  > Title: = the <title> of the html file

  > OK

To Create or Open a simple html file

Create or Open a Word file as normal, but immediately afterwards, save it by …

Office Button > Save As > Other Formats

  > Save as type: = Web Page, Filtered (*htm;*html)

  > File name: = <document name>.html                    (I.e. add the “l” to create a standard *.html file name)

  > [Save]

All saves (Ctrl+S) will then by followed by a warning dialog box. Click [Yes] to save the file as a simple html file

To insert a link

Enter the url starting with “http”, and type a space or return at the end to convert it into a hyperlink.

Right click the hyperlink, and select “Edit Hyperlink”. Then if required, do as follows…

  > [Screen Tip…] > enter the desired screen tip [OK]

  > [Target Frame…] > select “New Window” or whichever target frame is appropriate

  > [OK]

 To insert a picture

Simple html files cannot contain pictures. This procedure references the original files elsewhere.

Relative addressing

One way of doing this is to use relative addressing. This means that the relationship between the files and their pictures must be maintained whenever they are moved or copied – as is the case for instance, if the picture file is always in the same directory as the html file.   > Select picture file in “File Name” box

  > [Insert] > Link to file

External web address

Insert > Picture

  > Enter a url in the “File Name” box

  > [Insert] > Link to file

Note that if the html file is saved and re-opened in Word, Word will not render it, but it will appear if the html file is loaded into a browser.
